Grant Management

We offer regular courses covering how to use the Grants Module of the University Finance System (UFS, also known as CUFS):

Grants for Departmental Administrators

This course is for new users of the Grants Module and covers a range of topics that will be useful in the performance of grants administration activities, including, but not limited to:

  • introduction to research grants
  • adjusting expenditure
  • funds checking
  • how to monitor expenditure
  • running grant reports

Principle Investigators (PIs) are welcome to attend the morning session of the Grants for Departmental Administrators (DAs) course, which also covers their access to the Grants Module. Personalised coaching visits are also available. During the course, users will be able to practice using the Grants Module, accessing their own department's data.

Reporting for Grants Administrators

This is a half-day course for experienced users of the Grants Module who would like to use the available reports more efficiently and effectively. This course is of particular benefit for staff who prepare management information for their department.

Research Grants Accounting

This course gives an overview of the financial aspects of research grant administration including the role of the Research Operations Office and the lifecycle of a research grant. Some general accounting areas are also covered, including:

  • grant activations
  • spending and budget virement
  • VAT and medical exemption
  • sponsor billing
  • foreign currency grants
  • an overview of fEC
  • grant closure

This course has proved to be very popular and is a useful introduction to grants administration for new DAs and PIs. Courses tailored to a department or school can also be arranged; these include input from the relevant administrator from the Grants Services Team.

Information on Research Grants Accounting Policy

The University Financial Procedures Manual includes information on research grants. The research grants section provides guidance to departments on how to apply for and manage research funding with reference to university policy and procedures, and may be of particular interest to new staff.

Coaching visits

New DAs may appreciate meeting their administrator from the Award Management team for a review of their grants portfolio and are very welcome to arrange to come in to RSD. If help is needed with a specific area of the Grants Module or grants administration, the Research Grants Trainer, Debbie Ford (email: Debbie.ford@admin.cam.ac.uk; Tel: (7)66623), and/or a member of the Award Management team is happy to visit you in your department for coaching.

UFS Playground

If you wish to practice the skills you have learnt in training or want to try something in a safe environment without affecting your department’s data, you can request access to the UFS Playground. The Playground environment is created from the Live system each month and Users attending training will automatically be given access.
