Electronic Document Management

  • The University’s Electronic Document Management System (EDMS) will capture and store documents and images in electronic format. These electronic records can be searched and retrieved as needed. Workflow is also available. The University provides a central EDMS service within MISD; this can be made available across all areas of the University, including Colleges.

Current Services

  • EDMS is live for some Pensions records

  • When Pensions staff deal with a new enquiry from a member of staff, they scan the contents of the existing hard copy file, and save the images into the EDMS for future reference, thus replacing the hard copy file

  • Pensions Section is investigating options for scanning all Pensions records and saving them into the EDMS; all records will then be available to Pensions staff in electronic format

  • EDMS went live for Graduate Admissions in September 2011

  • Electronic records are captured in these ways:

    • Applicants apply on-line and upload electronic documents into CamSIS
    • Hard copy documents are scanned and saved into CamSIS
    • Electronic files for all successful graduate applicants will be transferred into the EDMS, where the records will be managed throughout the students’ University careers
