Advice and assistance

Timesheets and pay

All temps are required to complete a timesheet stating all start and finish times for each day's work. Further details and downloadable timesheets are available.

Tax and National Insurance

Before starting work you will need to provide a P45 from your previous employer. If you do not have this you will need to complete a TES Tax or P38 (student) tax forms so that appropriate tax deductions can be made.

If you hold a National Insurance Certificate of reduced or no liability (Certificate of Election/Age Exception), you will also need to supply this.

Hours of work

Your working hours may be more flexible than the scheme of hours appertaining to your Department (commonly thirty-six and a half hours per week). We will, however, require your written consent if, at any time during your placement, there is any likelihood of you working hours exceeding forty-eight hours in a week.

Rest breaks

You are entitled to at least one daily rest break. It is customary in the University for full-time staff to take a daily lunch break of one hour. If you are working part time or variable hours, you should consult your supervisor to agree times for you rest breaks. Whatever flexibility you have concerning you working hours, you must ensure that you take an interrupted rest break at least twenty minutes following six hours of work.

Sickness

If you are sick and not able to work, please notify your department immediately and make sure you mark it on your timesheet. You may be entitled to Statutory Sick Pay, please contact the TES office for further details.

Holiday pay

In addition to payment for hours worked you are eligible for paid holiday entitlement. For every week you work, you save up some paid holiday, which is recorded in our database. For a 35 hour working week you will accumulate a little more than four hours holiday. The holiday year runs from 1 October to 30 September and no holiday can be carried over to the next year.

If you would like to take a day off and you have asked your supervisor for permission please let us know via the ‘comments box’ on your timesheet. We will pay you for that day as long as you have saved up enough hours, if you annotate how many hours of leave you wish to be paid for in the appropriate section. Please ensure that you give your Department sufficient notice if you plan to take time off.

Please note that holiday pay cannot be paid if you are off work through sickness.

We will pay any outstanding accrued holiday to you at the end of each assignment.

Confidential information

In the course of your work, you may have access to confidential information, which if mishandled, could damage the interest of the University. It is important that you do not disclose, to anyone, information that is of a confidential nature.

Health and Safety

Whilst working in the University you will be covered by the University's health and safety policy. But you also have a personal responsibility for taking reasonable care to ensure the health and safety of yourself and others, and to comply with the Safety Regulations for the Department in which you are working.

Dress

There is no set dress code but you are expected to dress in a manner appropriate to your working environment.

Smoking

As well as general restrictions on smoking in certain areas of the University such as laboratories and libraries etc. some departments operate no-smoking policies. If you need to smoke while you are at work, you should check on what the arrangements will be at your location.

Termination

You should notify the Temporary Employment Service as soon as you know that your assignment is to be extended or terminated. The exact length of the assignment may not have been specified or may vary from the dates originally given.

Where your assignment is terminated either by yourself or by the Department engaging you, there is no set period of notice required on either side. In the interest of both parties, as much notice as is practicable should be given.
