Portability

Portability refers to the re-use of a Criminal Records Bureau Disclosure, obtained for a position in one organisation and later used for another position in another organisation.

Due to risks involved in portability, the University will not accept the re-use of Disclosures originally obtained by an external organisation.

The risks include the following:

  • A Disclosure has no formal period of validity. It is for use immediately after issue and reflects the record available at that date. That record might change subsequently. A further Disclosure would reveal such change.
  • The Disclosure might not be at the correct level of check required. The University always seeks Enhanced Disclosures.
  • Only the employer's copy of an Enhanced Disclosure would indicate additional police information. The employer would receive such information by separate letter. It remains confidential to that employer.

In exceptional circumstances, the University may allow internal portability of a Disclosure where:

  • the Disclosure is at Enhanced level
  • the Disclosure was obtained within the past twelve months for a similar position
  • an individual is to undertake two positions (paid and/or voluntary) that both require a CRB check
